►Screen and filter applicant CVs and send to the relevent department heads and heads of sections in order to facilitate the selection of candidates
► Coordinate with the relevent department heads and heads of sections to arrange interviews with potential hires
► Prepare employment offers/expressions of regret to applicants based on decisions made by department heads and heads of sections
► Ensure that all required documentation (e.g. passport copies, residentices, CVs, degree copies etc.) are provided by hired applicants as requested; follow up and update the scan folder on the server
► Coordinate all joining arrangements for new hires; ensure that effective induction programs are developed to familiarize new joiners with their supervisors and peers, company policies & procedures etc.
► Perpare forms to document the performance evaluation of employees who have completed their 100 day probation period
► Coordinate with the relevent department heads and heads of sections to ensure that all new hires are provided feedback on their performance on completion of their probation period; commence with employment/termination procedures as requested
► Maintain an up-to-date database of applicant CVs to allow for potential recruits to pace to be easily identified as and when required
► Prepare all HR related documentation (e.g. employment contracts, employment offer letters, termination letters, salary certificates, salary continuation certificates, promotion letters, increment letters, warning letters etc.)
► Maintain personal files for all individual employees within pace; ensure that all personal files are regularly updated and that all content is kept confidential except from authorized persons
► Conduct exit interviews with resigning employees, ensuring to document the same in order to identify reasons behind resignations
► Process all travel arrangements (flight bookings, hotel/accommodation bookings, transport arrangements etc) for all company/prospective staff as required
► Monitor the daily attendance of all staff and inform Heads of Departments/Sections accordingly
► Handle the sourcing and issuing of life insurance and social security
► Ensure that the HR system is continuously maintained and updated
► Develop all reports related to ministries (e.g. Ministry of Labour, Ministry of Public Works etc.)
► Ensure that the leave system (e.g. sick leave, annual leave etc.) for all staff is regularly updated and prepare preliminary leave request reports on an annual basis
► Process all residency arrangements (e.g. new residencies, transfer residencies, residency cancels, visas etc.) for all staff
► Prepare documentation required by ministries as required
► Prepare monthly reports on staff salaries and prepare salary related documents to be submitted to banks and the relevant ministries
► Coordinate with engineers in order to issue or renew engineer memberships at the Kuwait Society of Engineers
► Prepare annual reports documenting employee performance appraisals and submit to the relevant Heads of Departments/Sections
► Maintain personnel related information on pace intranet (e.g. birthday announcements, congratulations, condolence expressions etc.); update any information related to HR on the intranet (e.g. holidays, promotions etc
